Madison Ice, Inc. is hiring an enthusiastic Office Manager to help us with our overall day-to-day operations. You will be an integral part of the Madison Ice, Inc. team working with our customers to provide information, booking agreements and invoicing. This is a part-time position, 25 hours per week. The pay range is $16 to $20 per hour depending on skills and experience.
Our office manager will be responsible for overseeing the daily operations of our Madison Ice, Inc. ice arena, including budgeting, scheduling, customer service, and staff supervision. This would include answering phones, creating ice booking agreements, sending invoices to customers, answering program related questions and supporting the rink director, our customers and our internal program directors.
The goal is to ensure the arena operates efficiently, safely, and with a focus on providing a positive experience for patrons.
What You’ll Do
Sales Invoicing and booking agreements
Answering the phones and general customer and user group questions.
Enter program registrations as needed for MII Programs.
Inventory and purchasing of office and program equipment.
Learn to Skate Scholarship management.
Greet registered skaters and parents at check-in for Learn To Skate Sessions one to two Sundays per month.
Develop facility and program reports.
Assist with Quickbooks entry and reporting.
Assist the Executive Director with any reports, scheduling, customer service needs, etc, as required.
All other duties as assigned.
What You’ll Bring
Strong communication skills: Excellent writing and verbal communication abilities to aid in communications with customers and user groups.
Office Management: Proficiency in various office tools like MS Office, Quickbooks and Google drive management.
Analytical skills: Well organized, detail oriented with an ability to interpret data, analyze budget performance, and draw actionable insights.
Creativity: Generate innovative and engaging communications to capture audience attention.
Project management skills: Effectively manage multiple rink projects with deadlines and budgets.
Adaptability: Stay up to date with evolving trends and technologies.
Preferred Qualifications:
Interest and/or knowledge of ice-related sports preferred but not required.
High School Diploma or equivalent.
Working Conditions:
This position can involve sitting, standing, walking, stooping, lifting, carrying, pushing, and pulling. Work responsibilities will be performed in a standard rink environment, however all functions named in this section could also be performed on or around an ice surface in accordance with employment in a recreational facility of which an ice rink or arena is present.
